This policy applies to all individuals who interact with Next Era Life Design, including visitors to this website, people who make enquiries, join a waitlist, subscribe to receive updates, use interactive tools such as the Life Audit, make a booking, purchase a resource or engage with our coaching services, courses or digital products.

By using this website or engaging with our services, you agree to the handling of your information as described in this policy.

What information we collect

We may collect the following types of personal information:

  • Your name, email address and country when you submit an enquiry, join a waitlist, subscribe to receive updates or complete a booking form
  • Your phone number, if you choose to provide it through a form, booking or enquiry
  • Information you share about your situation, goals or circumstances through enquiry forms, booking forms, course forms or coaching sessions
  • Ratings, written reflections and other responses you choose to provide through interactive tools such as the Life Audit
  • Payment information processed securely through third-party payment providers, noting that we do not store payment card details
  • Course, resource or waitlist preferences, including whether you have opted in to receive emails from us
  • Technical data such as your browser type, device, pages visited and interactions with this website, collected automatically through cookies, analytics or advertising tools

We only collect information that is reasonably necessary for the purposes described in this policy. We do not collect sensitive information, such as health or financial records, unless you choose to share it voluntarily in a coaching, enquiry or support context, and only with your understanding that it will be handled with confidentiality.

If you choose to provide your phone number, it may be used only for the purpose connected to your enquiry, booking, purchase or request. We do not send marketing SMS messages unless you have clearly consented to receive them.

How we collect information

We collect personal information in the following ways:

  • Directly from you when you complete a form on this website, use an interactive tool such as the Life Audit, join a waitlist, subscribe to updates, make a booking, send an enquiry, purchase a resource or engage in coaching sessions
  • Automatically through cookies, analytics tools and advertising tools when you use this website
  • Through third-party platforms used to facilitate bookings, payments, course access, forms, communications, interactive tools or support, where you have provided your information to those platforms

Where it is reasonably practicable to do so, we will collect personal information directly from you rather than from third parties.

Why we collect your information

We collect and use personal information for the following purposes:

  • To respond to enquiries and assess whether working together is a suitable fit
  • To manage bookings, waitlists, subscriptions, purchases and course access
  • To provide coaching services and deliver programs, sessions, courses or resources you have engaged with
  • To provide interactive tools and generate an AI-assisted reflection when you choose to request one
  • To send occasional reflections, updates, resources or course-related communications you have subscribed to receive
  • To process payments and provide receipts or purchase confirmations
  • To improve the website and understand how it is being used
  • To measure and improve advertising, including through analytics or advertising tools where used
  • To meet our legal obligations

We will not use your personal information for any purpose that is incompatible with the reason it was collected, unless you consent or we are required to by law.

AI-assisted reflections and interactive tools

Some Next Era Life Design tools, including the Interactive Life Audit, use artificial intelligence to create a personalised reflection from information you choose to provide.

When you request a personalised AI reflection, your Life Audit ratings and written responses are sent to OpenAI through its API so they can be considered together and a reflection can be generated. For your privacy, we encourage you not to include names, contact details or other identifying information in your written Audit responses unless it is genuinely necessary.

The personalised reflection is intended to support reflection and personal development. Artificial intelligence can misunderstand meaning or miss important context, so the reflection should not be treated as a diagnosis, professional assessment or decision about what you should do.

Our current implementation uses background processing with optional response storage disabled. OpenAI temporarily retains response data for approximately ten minutes so that a background response can be completed and retrieved. Separate security and abuse-monitoring retention may also apply under OpenAI's API data controls and applicable legal or safety requirements.

We also retain limited technical information needed to make the reflection process reliable, such as coded job identifiers, processing status, timestamps and response identifiers. These technical records do not contain your written Life Audit answers or the text of your generated reflection.

Your Life Audit responses are not used by Next Era Life Design to make automated decisions about your eligibility for coaching, products or services.

Email communications and unsubscribing

If you join a waitlist, subscribe to receive updates, download a resource, purchase a digital product or otherwise opt in to receive communications from us, we may send you relevant emails connected to that request.

You can unsubscribe from marketing or newsletter emails at any time by using the unsubscribe link included in those emails. Transactional emails, such as purchase confirmations, booking details or important service-related updates, may still be sent where necessary to provide the service or product you requested.

Confidentiality

Everything shared within a coaching relationship is treated with confidentiality. The content of coaching conversations is not disclosed to any third party without your consent.

There are limited circumstances where confidentiality may not be maintained. These include situations where disclosure is required by law, or where there is a serious and imminent risk of harm to you or another person. In those circumstances, we will take appropriate steps in line with our legal and ethical obligations.

We do not use information shared in coaching sessions for marketing purposes or share it with other clients or organisations.

How we store and protect your information

We take reasonable steps to protect your personal information from misuse, loss, unauthorised access, modification or disclosure.

Personal information is stored using password-protected systems and reputable third-party platforms with appropriate security measures. Where data is held by third-party service providers, we take reasonable steps to ensure those providers maintain adequate protections.

No method of data transmission or storage over the internet is completely secure. While we take care to protect your information, we cannot guarantee absolute security.

Data retention

We retain personal information only for as long as it is reasonably necessary for the purposes for which it was collected, or as required by law.

In general, this means:

  • Enquiry and contact information is retained for as long as it is relevant to the relationship and for a reasonable period thereafter
  • Booking information is retained for as long as needed to manage the appointment and related records
  • Client records related to coaching engagements are retained for a period of up to seven years from the end of the engagement, in line with general business record-keeping practices
  • Course, resource, purchase and access records are retained for as long as needed to provide access, manage customer support and meet legal or accounting obligations
  • Newsletter subscriber and waitlist information is retained until you unsubscribe or ask us to delete it, unless we are required to keep it for legal or administrative reasons
  • Life Audit technical processing records may be retained for reliability, request recovery and duplicate-prevention purposes. These records contain coded identifiers, processing status and timestamps rather than your written Audit answers or generated reflection text
  • Website analytics data is retained in accordance with the policies of the analytics provider

When personal information is no longer required, we take reasonable steps to destroy or de-identify it securely.

Disclosure to third parties

We do not sell, rent or trade your personal information to third parties.

We may share your personal information with third-party service providers who assist us in operating our business, including:

  • Website, funnel, course and email platform providers, including Systeme.io
  • Artificial intelligence and processing providers, including OpenAI, when you request an AI-assisted reflection or use another feature that clearly involves AI processing
  • Payment processing providers
  • Email, newsletter and communication tools
  • Scheduling, booking or calendar software, including Google Meet or calendar integrations where used
  • Form, document or survey tools, including Google Docs, Google Forms or Linktree where used
  • Analytics and advertising tools, including Meta or similar platforms where used

These providers are given access to personal information only as needed to perform their services, and we take reasonable steps to ensure they handle your information appropriately.

We may also disclose your information where required or authorised by law, or where necessary to protect the rights, property or safety of ourselves or others.

Some of our third-party providers may be located outside Australia. Where this occurs, we take reasonable steps to ensure your information is handled in a manner consistent with the Australian Privacy Principles.

Third-party links and platforms

This website may contain links to external websites and resources operated by third parties. These links are provided for your convenience and information only.

We may also use third-party platforms to support forms, bookings, surveys, documents, course access, payments, email communications, artificial intelligence processing or support requests. These platforms may include Systeme.io, Google, OpenAI, Linktree, Meta or other providers used in the operation of the business.

We have no control over the content, privacy practices or policies of external sites. This Privacy Policy does not replace the privacy policies of those third-party platforms. We encourage you to review the privacy policies of any third-party platform you access or use.

Cookies, analytics and advertising tools

This website uses cookies and similar technologies to help understand how the site is used and to improve the experience for visitors. Cookies are small text files stored on your device by your browser.

We may use analytics and advertising tools to understand visitor behaviour, measure website performance and assess the effectiveness of our content or advertising. This may include information such as pages viewed, time spent on site, links clicked and general device or browser information.

Where advertising tools such as Meta Pixel or similar technologies are used, they may help us understand whether our advertising is reaching the right audience and whether visitors take actions such as viewing a page, joining a waitlist or subscribing. Automated processing and decision-making

We may use artificial intelligence to generate personalised reflective content through tools such as the Interactive Life Audit. This processing does not make decisions about you that produce legal or similarly significant effects.

Decisions about coaching suitability, engagement or access to our services are not made solely by an automated system.

Your rights

Under the Australian Privacy Principles, you have the right to:

  • Request access to the personal information we hold about you
  • Request that we correct information that is inaccurate, incomplete or out of date
  • Request that we delete your personal information, subject to any legal obligations we have to retain it
  • Unsubscribe from any marketing or newsletter communications at any time
  • Make a complaint about how we have handled your personal information
